Google Workspace migration, explained clearly.

A good migration is mostly invisible — one morning everything is simply in a better place. Here's what makes that happen, in plain terms, so you know what we're doing and why it's safe.

What "zero data loss" really means

The safest way to move data is to copy it, not to move it. We connect to your current system and copy every mailbox, file, calendar and contact into Google Workspace while the original stays exactly where it is. Once the copy is done, we compare both sides — message counts, folder names, files and who can see what — to prove nothing was lost or scrambled. Your old data stays intact as a fallback until you've signed off. That way there's never a moment where your only copy is mid-flight.

How we keep your email running (no downtime)

Downtime scares people, and rightly — a business can't stop receiving email for a day. The good news is that the switch itself is small. Your email is directed by a setting on your domain called the MX record, which tells the world where to deliver your mail. We copy everything first while your old inbox keeps working, then change the MX record at a quiet time, lowering its timing beforehand so it takes effect fast. Mail sent during the handover is queued and delivered, not dropped, so your team keeps sending and receiving throughout.

Moving from Microsoft 365 (and back)

Most businesses we move come from Microsoft 365, Outlook or an older Exchange server, and the worry is always the same: will my Outlook world still make sense in Gmail? It will. We map Outlook mail and folders to Gmail and labels, OneDrive and SharePoint files to Drive and Shared Drives, and calendars and contacts to their Google equivalents. If your business is heading the other way — from Google Workspace to Microsoft 365 — we run the same careful process in reverse, and we're honest about which platform genuinely fits how you work.

Drive, Shared Drives and file permissions

Files are where messy migrations show. A folder can arrive with the right documents but the wrong sharing — suddenly private files are open, or shared ones are locked. We move your documents into Drive with their structure intact, and set up Shared Drives so team files belong to the company rather than to one employee who might leave. We check the right people keep the right access, so collaboration carries on exactly as before.

Email authentication: SPF, DKIM and DMARC

Moving your email to a new provider changes who sends on your behalf, and if you don't update your domain's authentication, your own messages can start landing in spam. So a proper migration always includes this step. SPF lists who's allowed to send email for your domain. DKIM adds an invisible signature that proves a message wasn't tampered with. DMARC ties them together and protects your name from being faked. We set all three up for your new Google Workspace so your email is trusted from day one.

Admin, security and staying in control

Once your data is home, the admin console is where you run things. We set it up tidy and secure: users grouped by team, sensible sharing rules, and 2-step verification switched on to stop the most common account attacks. We keep it simple enough that you can manage day-to-day tasks yourself, and hand over clear notes on how. You own the domain, the accounts and the console — so you're genuinely in charge, not dependent on us.

What does a Google Workspace migration actually involve?

It means moving your whole work setup — email, files, calendars and contacts — into Google Workspace without breaking anything. We copy every mailbox with its folders and history, move your files into Drive and Shared Drives, bring across calendars and address books, then point your domain at Google and set up the admin console, security and email authentication. When it's done, your team simply signs in and everything is there.

Will I lose any email, files or data during the migration?

No — that's the whole point of doing it properly. We copy your data rather than move it, so your old system stays untouched until we've checked the new one. After the migration we compare both sides — mailbox counts, folders, files and shared access — to confirm nothing is missing. Only when you're happy do we switch over for good. Your original data stays as a safety net throughout.

How long does a Google Workspace migration take?

It depends on how many users you have and how much email and data needs to move. A small team can be migrated in a few days; a larger company with years of email and big Drive libraries takes longer, because copying that much data simply takes time. We give you a clear schedule up front, and most of the heavy copying runs in the background so your team keeps working while it happens.

Can you move us from Microsoft 365 to Google Workspace, or the other way around?

Yes, both directions. We move businesses from Microsoft 365, Outlook and Exchange into Google Workspace — and we also migrate the other way, from Google Workspace to Microsoft 365, when that's the better fit. Either way we map Outlook to Gmail, OneDrive or SharePoint to Drive, and calendars and contacts across, so people find their work where they expect it.

Will our email keep working during the switch, or is there downtime?

Your email keeps working. We do the copying while your old system is still live, so nobody is locked out. The actual switch is a small DNS change to your MX records, planned for a quiet time and set up so mail is never dropped — messages sent during the changeover are collected and delivered. In practice your team keeps sending and receiving throughout, with no gap.

Do you set up security and email authentication like SPF, DKIM and DMARC too?

Yes. A migration isn't finished until the new setup is secure and your email is trusted. We turn on 2-step verification, set sensible admin and sharing controls, and organise users into groups and departments. We also set up SPF, DKIM and DMARC on your domain so your email is properly authenticated and lands in the inbox instead of spam.
