How it works, in depth

The logic that keeps you in the inbox.

Reaching the inbox is not luck. Providers like Gmail and Outlook watch how you send — how fast you ramp, how many people bounce, complain or reply. A good platform behaves like a careful, trusted sender at every step. Here is what goes into that.

Lifecycle states for every asset

Each domain, mailbox and IP moves through clear stages. Warming is new and building trust on a slow ramp. Live is healthy and carrying normal volume. Cooldown rests an asset when the numbers wobble. Recovery eases it back in careful steps. Disabled retires it for good. The engine moves assets between these states automatically as their health changes — you do not have to babysit anything.

The warm-up engine

Send too much, too soon from a fresh address and providers treat you as spam. So the warm-up engine starts small — perhaps ten emails on day one — and ramps up toward full volume, say five hundred a day, after about a month. The ramp is not fixed: if bounces, complaints or spam-folder placement rise, it slows down or pauses; if things look healthy, it keeps climbing. This is the difference between building real reputation and burning a domain in a week.

The 0–100 reputation score

Every asset carries a live health score, so the system always knows what it can trust. For domains, the score reflects age, bounce rate, complaints, and open and reply rates. For mailboxes, it watches opens, replies, bounces and how much of the daily limit is used. For IPs, it tracks reputation, complaint rate and volume. These combine into a single number from 0 to 100. A high score earns more sending; a falling score triggers caution long before real damage is done.

The intelligent routing engine

This is where it all comes together. For every message, the routing engine chooses the best combination of domain, mailbox and IP — weighing each candidate's health score, remaining daily limit, bounce history and spam complaints, then sending through the safest option available. Healthy assets take on more work; strained ones are rested. Spreading load this way keeps sending steady day after day, instead of leaning on one address until it collapses.

Automatic cooldown and recovery

When an asset's health drops below a safe line, the system does not wait for you to notice. It pulls the asset out of rotation, cools it down, and later reintroduces it slowly through a recovery phase. If it recovers, it rejoins the fleet; if not, it is disabled. This is the safety net that turns a small dip into a non-event instead of a blacklisting.

What does the warm-up engine do?

A brand-new domain or mailbox that suddenly sends hundreds of emails looks like spam to inbox providers. The warm-up engine ramps volume up slowly and safely — around ten emails on day one, rising over several weeks toward full volume, such as five hundred a day — and watches health as it goes. If bounces or complaints rise, it slows down on its own. This builds the trust that gets your mail delivered.

How does the reputation and health scoring work?

Every domain, mailbox and IP gets a live score from 0 to 100. For domains we look at age, bounce rate, complaints and open and reply rates.
